When a team is overloaded, the instinct is to hire. Sometimes that's right. But a new employee is a slow, permanent, expensive answer to a problem that's often temporary, or self-inflicted.
Before you post the job, it's worth asking how much of your team's week is spent on work that a better process or a small tool would erase.
Where trapped capacity usually hides
- The same data entered into more than one system
- Reports and documents built by hand every week
- Time spent searching for information that should be at hand
- Rework caused by a poor handoff between departments
- Work that only moves when one specific person is available
A simple test
Pick one repetitive task. Estimate how long it takes, how often it happens, and how many people do it. Multiply it out across a year. Most businesses are surprised: a fifteen-minute task done a few times a day by a handful of people quietly consumes hundreds or thousands of hours.
That's the capacity you may already have. Finding and freeing it is usually faster and cheaper than hiring.
